Policies and Privacy
1 – General Policies and Privacy Notice
1.1 Overview
Texchem has operated in Laredo, Texas for more than four decades and serves as an authorized distributor of Hillyard products. We distribute a broad range of cleaning chemicals—including all‑purpose cleaners, floor care chemicals and industrial‑grade cleaners—and specialized equipment such as scrubbers, burnishers, vacuums and pressure washers. We also intend to offer additional services: (i) repair and servicing of commercial and automation equipment; (ii) rental of commercial cleaning equipment; and (iii) consulting and training related to janitorial, shipping and facility maintenance. All sales are final; exchanges are available only for defective items. Orders placed before Tuesday are generally delivered on Thursday of the same week. Customers must report any issues within 48 business hours after receipt so that we may resolve them promptly. These general policies set expectations for the transactional relationship and are subject to the terms described in our Terms of Service document.
1.2 Privacy Notice
a. Purpose and Scope
This Privacy Notice explains how Texchem collects, uses and stores personal information about customers and website visitors. The notice applies to texcheminc.com and all services offered through our organization. We collect only the information necessary to operate our business, to deliver goods and services and to comply with legal requirements.
b. Information Collected
We may collect the following categories of information:
Account and contact information. When you place an order or create an account, we collect your name, business name, phone number, email address and shipping/billing addresses. We retain only the minimum information necessary to process your order and to provide customer support.
Device and usage data. Our website may gather limited technical information from your browser or device (such as IP address, operating system, browser type, device identifiers and log data) to ensure the site functions correctly and for security purposes.
Transaction information. We collect order details, payment amounts and the products or services purchased in order to fulfill your transaction. Payments are processed through secure third‑party providers (e.g., Intuit or other payment processors), and we do not store full payment card numbers.
Fraud‑prevention and security data. We may receive or generate information used to prevent fraudulent transactions or unauthorized access. This may include device fingerprinting and geolocation signals for fraud detection.
Government‑issued identification. In rare cases where required by law or contract (e.g., to handle tax‑exempt purchases or for certain regulated products), we may request government ID numbers and related documentation.
Delivery documentation. To verify delivery, our logistics personnel may capture photographs and digital signatures when delivering products. These images are stored securely and retained only as long as needed to document the delivery.
We do not knowingly collect information about minors. Customers who provide information on behalf of their employees or customers must ensure that they have authority to do so.
c. How We Use Your Information
We use the information described above to:
Process orders, deliveries and returns. We use contact and transaction information to fulfill your orders, arrange delivery on Thursday (for orders placed before Tuesday) and facilitate exchanges when an item is defective. Information about delivery (including digital signatures and photos) is stored to verify that products reached their destination.
Operate, maintain and improve our services. Device and usage data help us maintain secure, reliable systems; they are also used for analytics to improve our website and customer experience.
Provide customer support and communications. Contact details are used to respond to inquiries, to deliver important notices (e.g., updates about your order or changes to policies) and to send marketing communications (you may opt out of marketing).
Comply with legal obligations. We may use or disclose information where required to comply with applicable laws, court orders or regulatory obligations. We may also use data to enforce our terms, to prevent fraud or security incidents and to protect the safety of our employees and customers.
We do not sell personal information to third parties. We may share information with service providers (e.g., payment processors or logistics companies) under strict confidentiality obligations and only to the extent necessary to perform services for us.
d. Data Security and Retention
Texchem uses industry‑standard security measures to protect information. Data is stored in secure, cloud‑based servers and encrypted at rest and in transit. Our systems implement U.S. Department of Defense (DoD)‑level erasure protocols when disposing of storage media to ensure that deleted data cannot be recovered. We limit access to personal information to trained employees who need the information to perform their duties. We also maintain incident response plans and will notify affected customers within 72 hours if a data breach is detected.
Personal data used for fulfilling orders is retained only for the duration of the transaction plus a short period to handle returns or support inquiries. Thereafter, order records and delivery documentation may be archived for up to ten years to comply with legal and contractual obligations.
